Sub 2 Fixed Time Reporting Codes

Subject: Sub 2 Fixed Time Reporting Codes

Dear PPS Users,

I am writing today to inform you about an update to the procedure for appointment coding. A cross-functional team with representatives from Payroll, SHR, APO, and PPS were involved in this initiative and would like to announce these changes.

As of August 5, the following guidelines apply to the Fixed/Variable and Time Reporting codes:

Fixed = Exception time reporting
Variable = Positive time reporting

Historically we have set up sub 2 appointments as positive time reporting (Time Code = A).  The focus for time reporting codes has now shifted from sub to the fixed/variable code.  These time reporting codes will be consistent across campus, for staff, academic, and student employees.

This means that sub 2 fixed employees will have pay generated automatically with no need to check the box on the Time Reporting Worksheet (TRW).  Appointments set up as variable will continue to be positive time reporting.

The time reporting codes were programmatically changed in PPS on the night of August 5 for all current and future sub 2 fixed appointments. New or extended sub 2 fixed appointments will be updated manually with the exception time reporting code. PPS Preparers in the Academic Divisions/Units and Staff Human Resources have been trained on this change in appointment coding.
